Privacy Policy
The short version
- We collect what we need to run your account: your name, work email, company and what you choose to watch.
- Payments go through Stripe. We never see or store your full card number.
- We don't sell your information, show you ads, or use your watchlists to train public AI models.
- You can see, correct, export or delete your information by emailing us.
1. Information we collect
Information you give us
- Account and contact details: name, work email, organization, job role, and anything you write to us.
- Your watchlists and settings: the companies, topics and alert preferences you choose, notes, and any description of your own research pipeline you provide to tailor alerts. We treat these as confidential business information.
- Billing details: handled by Stripe, Inc. We receive the billing name, email, plan, payment status and the last four digits and expiry of your card, never the full card number.
Information collected as you use the Service
- Usage: which pages and reports you open, which alerts you open or dismiss, and the feedback you give (for example “useful” or “not relevant”). We use this to rank alerts for you and to improve the Service.
- Technical data: IP address, browser and device type, and request logs, kept by our hosting provider for security and troubleshooting.
- Cookies: only those needed to keep you signed in and remember your settings. We do not use advertising cookies. If we add analytics, we will update this policy first.
Public research records
The Service processes public scientific and patent records, which include names and institutional affiliations of authors, investigators and inventors as published by PubMed, ClinicalTrials.gov, bioRxiv/medRxiv and the USPTO. We use them only as part of the public research record about organizations and their work, not to build profiles of individuals. If you appear in these records and want us to correct or remove our copy where we reasonably can, contact us.
2. How we use information
- to provide the Service: build your watchlists, reports, dashboards, alerts and digests;
- to process payments and manage your subscription;
- to send service messages, such as alerts you asked for, billing notices and changes to our terms;
- to keep the Service secure and prevent misuse;
- to improve the Service, using aggregated information that doesn't identify you where possible;
- to comply with law.
We do not sell personal information, share it for cross-context advertising, or use your watchlists, pipeline descriptions or feedback to train public or third-party AI models. If we use an AI model to process your data in the future, it will be under terms that prohibit the provider from training on it, and we will say so here.
3. Who we share information with
- Service providers that run parts of the Service for us under contract: our web host and database provider, our email delivery provider, and Stripe for payments.
- Google Fonts: our pages load typefaces from Google's servers, so Google receives your IP address and browser details when a page loads.
- Legal reasons: when required by law, or to protect the rights, safety or property of our users, the public or Intellara.
- Business transfers: if Intellara is merged or sold, information may transfer to the new owner, who must honor this policy.
We never share one customer's watchlists or pipeline information with another customer.
4. How long we keep information
- Account information and your data: while your account is active, then deleted within 30 days after you close it (removed from backups within a further 90 days).
- Billing records: as long as tax and accounting law requires, typically 7 years.
- Technical logs: up to 90 days.
- Public research records: kept as a historical record, because tracking how records change over time is part of the Service.
5. Security
We use encryption in transit (HTTPS), restrict access to customer data to the people who need it to run the Service, and keep systems updated. No method of transmission or storage is completely secure, and we can't guarantee absolute security. If a breach affects your personal information, we will notify you as the law requires.
6. Your choices and rights
You can ask us to show, correct, export or delete your personal information, or to stop using it for a particular purpose, by emailing the address below. We will respond within 30 days. You can unsubscribe from alerts and digests at any time; we will still send essential account and billing messages.
California residents have the right to know, correct and delete personal information and to opt out of its sale or sharing; we do not sell or share it. Residents of the EU, UK and similar jurisdictions may also object to or restrict processing and lodge a complaint with their data-protection authority. We process information to perform our contract with you, for our legitimate interest in running and securing the Service, and to meet legal obligations. Our systems are in the United States, so information is transferred there.
7. Children
The Service is for professionals and is not directed to anyone under 18. We do not knowingly collect information from children.
8. Changes to this policy
We will post any update here with a new effective date, and notify account holders of material changes by email or in the Service before they take effect.
